This Privacy Policy explains how Tecta AI Corp. collects, uses, discloses, and protects personal information when you visit tectaai.ca or contact us through this website.

Scope. This policy covers our public website only. If you become a TectaAI client, the handling of information processed by our AI voice agents, chatbots, or other services on your behalf — including any call recordings, transcripts, or customer records — is governed by the separate written agreement we enter into with you, not by this policy.

1. Who we are

Tecta AI Corp., operating as TectaAI (“TectaAI”, “we”, “us”, or “our”), is a corporation incorporated in Canada. We build AI voice agents, chatbots, internal language models, and websites for small and medium-sized businesses.

For the purposes of Canadian privacy law, TectaAI is the organization accountable for the personal information described in this policy. We have designated a Privacy Officer who is accountable for our compliance with this policy and with applicable privacy legislation. The identity of that individual is available on request, and they can be reached using the contact details in section 13.

2. What we collect

Information you give us

When you submit our contact form, we collect the information you enter:

• Name and email address (required, so that we can reply)
• Company name (optional)
• Solution interest (optional — the service you selected from the dropdown)
• Project details (optional — whatever you choose to write in the message box)

Please do not include sensitive personal information — such as health information, financial account numbers, or government identification numbers — in the message box. It is not a secure channel for that kind of information, and we do not need it to answer your enquiry.

If you contact us instead by telephone or by email at the addresses published on our site, we will hold whatever information you provide in that message, for the same purposes described below.

Information collected automatically

Like nearly all websites, our hosting provider automatically records technical information each time a page is requested. This includes your IP address, browser type and version, operating system, the page requested, the referring page, and the date and time of the request. These server logs are used for security, abuse prevention, and diagnosing technical problems.

Analytics

We do not currently use any website analytics service. If we introduce one, it will be a privacy-focused service that does not set cookies, does not create a persistent identifier for you, does not track you across other websites, and does not collect information that identifies you personally — and we will update this policy before we begin using it.

3. Why we collect it

We use personal information collected through this website only for the following purposes:

• To respond to your enquiry, answer your questions, and provide the information or quote you asked for;
• To follow up about that specific enquiry, and to communicate with you if you go on to become a client;
• To operate, secure, and improve our website;
• To comply with our legal obligations.

We will not add you to a marketing list or send you newsletters or promotional email as a result of submitting the contact form. If we ever introduce a mailing list, we will ask for your express consent first, in accordance with Canada's Anti-Spam Legislation (CASL), and every message will include a way to unsubscribe.

We do not sell, rent, or trade personal information to anyone, for any purpose.

4. Consent

By submitting our contact form or contacting us directly, you consent to our collecting and using the information you provide for the purposes described in this policy. You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting us using the details in section 13. If you withdraw consent, we may no longer be able to respond to your enquiry or provide you with services.

5. Cookies and tracking

This website does not set any cookies of its own, and does not use advertising cookies, tracking pixels, or cross-site tracking technologies.

Our product demonstration videos are hosted on YouTube, but no YouTube video player is embedded in this website. On our pages we display only a still thumbnail image. If you click a demo video, you are taken to YouTube in a new browser tab, and from that point onwards Google's own terms apply, governed by Google's Privacy Policy. Nothing YouTube does on its own site is within our control, and no YouTube cookies are ever set by this website.

6. Service providers and third parties

We use a small number of third-party services to operate this website. Each receives only what it needs to perform its function.

Links to other websites. Our website links to our profiles on third-party platforms, including LinkedIn, Instagram, Facebook, X, TikTok, and YouTube. Following any of those links takes you to a website we do not operate or control. This policy does not apply once you leave our site, and we encourage you to read the privacy policy of any site you visit.

We may also disclose personal information where we are required or permitted to do so by law — for example, in response to a valid court order, subpoena, or lawful request from a government authority — or to protect our legal rights.

If our business is ever sold, merged, or reorganized, personal information may be transferred as part of that transaction. We would require the recipient to protect it on terms consistent with this policy.

7. Storage outside Canada

Some of the service providers listed above operate servers in the United States and other countries. This means your personal information may be stored or processed outside Canada. While it is in another country, it is subject to that country's laws, and may be accessible to the courts, law enforcement, and national security authorities of that jurisdiction. We select providers that offer a commercially reasonable standard of protection, but we are required to tell you this and we want to be clear about it.

8. How long we keep it

• Contact form submissions and related correspondence: submissions are held in our hosting provider's form system and in our email records. We review and delete them on a periodic basis, and in any event retain them no longer than 24 months from our last communication with you — unless you become a client, in which case we retain records for as long as needed to provide services and to meet legal, tax, and accounting obligations.
• Server logs: typically 30 days, as determined by our hosting provider.

When personal information is no longer needed for the purpose it was collected for, we delete it or render it anonymous.

9. How we protect it

We protect personal information with safeguards appropriate to its sensitivity. This website is served over an encrypted HTTPS connection. Access to form submissions is limited to the TectaAI founders and staff who need it to respond to your enquiry, and is protected by strong authentication.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a privacy breach that creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as required by law.

10. Your rights

Under Canadian privacy law you have the right to:

• Access the personal information we hold about you, and be told how it has been used and to whom it has been disclosed;
• Correct information that is inaccurate or incomplete;
• Withdraw consent to our continued use of your information, subject to legal and contractual limits;
• Request deletion of your information where we have no continuing legal or business reason to keep it;
• Complain about how we have handled your information.

To exercise any of these rights, contact us using the details below. We will respond within 30 days. There is no charge for a reasonable request. We may need to verify your identity before acting, so that we do not disclose your information to someone else.

11. Children

Our website and services are directed at businesses, not children. We do not knowingly collect personal information from anyone under the age of 16. If you believe a child has provided us with personal information, please contact us and we will delete it.

12. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or in the law. The effective date at the top of this page shows when it was last revised. If we make a material change to how we handle personal information, we will post a prominent notice on this website. We encourage you to review this page periodically.
